Letter to Parents and Carers: Update to Policy regarding Medication in School

Mon 12 Jan 2026
Dear Parents and Carers,

Every student with a medical condition who attends Outwood Academy Shafton is currently supported to fully access education, educational trips and physical education, enabling them to play a full and active role in Academy life and to remain as healthy as possible.

We would like to remind you of our policy regarding administration and storage of medication in school as follows:

  • The Academy will only store and administer medicines which have been prescribed by a clinician

  • Paracetamol will only be accepted for storage in the medical room if it is prescribed for your child. It will only be accepted for storage in the medical room for the following reasons:

  1. The student has a severe injury such as a broken bone
  2. The student has a long term condition where paracetamol is regularly required.

In both cases, a letter from the GP should be provided as evidence. This should state how long the medication will need to be taken for.

  • When bringing medication into the Academy, a Medication Consent Form MUST be completed for EACH NEW PRESCRIBED MEDICATION by a person who has parental responsibility for the child. Please ask the staff at reception for a form. No medication will be administered under any circumstances without this form being completed.

  • ALL medication should be brought into the Academy by a person who has parental responsibility for the child.

  • Medication which is to be administered in school should be provided in the original container including the box and include the pharmacy label which gives details of the prescribers instructions for administration.

  • Parents and carers may bring medication into school when needed, and personally administer it to their child. Please could we ask that a drink is also brought in to facilitate this, if tablets are to be taken.

  • Students should NEVER carry medication on their person for safeguarding reasons.. If it is discovered that medication is in their possession, it will be confiscated by a member of staff and contact home will be made.

  • Where medication has been prescribed to be taken 3 times a day, all doses should be taken at home and the medication should not be brought into the Academy.

  • Where medication is prescribed 4 times a day, one dose will be given in school at an agreed time. In these cases, medication can be brought in and taken home where necessary by the parent, or the correct amount of tablets can be brought into the Academy.

  • A list of students who need medication in the event of a medical emergency exists. This will be regularly updated and circulated to staff members

  • A timetable exists for students who require daily medication. This will be regularly circulated to all relevant members of staff and updated as the need arises.

If you feel you wish to contact school as a result of this communication, please email Mrs Livingston, Health and Wellbeing Officer at c.livingston@shafton.outwood.com

Yours faithfully,
